Media Use & Content Policy
Effective Date: 4th June 2025
This policy outlines the responsible creation, use, sharing, and protection of media content (including photos, videos, written stories, and digital assets) by and for Bodice Charity Foundation. It applies to all staff, volunteers, partners, contractors, and anyone authorized to produce or publish content on behalf of the Foundation.
1. Purpose of Media Content
The Foundation uses media to:

Raise awareness about our mission and programs.

Celebrate the impact of our work and the people we serve.

Inspire donations, sponsorship, and partnerships.

Document events, outreach, and field activities for internal and external use.
2. Consent & Privacy

Informed Consent: We must obtain explicit, written or verbal consent before capturing and publishing identifiable images, videos, or personal stories of individuals, especially children and vulnerable adults.

Parental/Guardian Consent: For minors (under 18), consent must be obtained from a parent or legal guardian.

Withdrawal of Consent: Individuals have the right to withdraw consent at any time. Upon request, their content will be removed from all future use.

Sensitive Situations: Extra care is taken when capturing content related to trauma, poverty, disability, or health concerns. The dignity of all individuals must be respected at all times.
3. Responsible Use
All media must:

Be accurate and truthful, not exaggerated or misleading.

Portray individuals with dignity, strength, and respect — not as passive victims.

Avoid stereotypes or content that could be perceived as exploitative or harmful.

Reflect the mission and values of Bodice Charity Foundation.
4. Ownership & Copyright

All media produced under the auspices of the Foundation becomes the property of Bodice Charity Foundation.

Media may not be used for personal, commercial, or unrelated third-party purposes without written authorization.

Proper credit will be given when third-party materials (stock images, external footage) are used, according to licensing agreements.
5. Social Media & Public Sharing

Volunteers, staff, and partners must seek permission before sharing Foundation media on personal or public platforms.

Content must not disclose confidential information, identities of protected individuals, or sensitive program data.

Tagging, geotagging, or identifying beneficiaries without consent is strictly prohibited.
6. Review & Approval
All media to be published or distributed must be reviewed and approved by the Communications or Program Manager to ensure compliance with this policy.
7. Breach of Policy
Any violation of this Media Use & Content Policy may lead to disciplinary action, including removal of media rights, volunteer/service suspension, or legal consequences if applicable.
